About The Role
The Project and Procurement Manager is a critical, hybrid leadership role designed for an experienced Managed Service Provider (MSP) veteran. This individual will consolidate, own, and mature our entire project delivery and procurement lifecycles.
In this role, you will act as the operational bridge between Sales, Engineering, Procurement, and Accounting. You will be responsible for managing relationships with our core distributors, optimizing hardware and licensing pipelines, and driving multiple client IT projects from initial scoping through to final closeout. The ideal candidate will possess a "process-first" mindset, capable of managing complex project schedules and client communications while aggressively streamlining internal workflows through automation and vendor integrations.
Key Responsibilities
Project Management & Execution
SOW & Project Setup: Create comprehensive Statements of Work (SOWs) using Pandadoc based on engineered scope components, convert won opportunities into active projects within Autotask PSA, and attach all relevant execution documentation.
Resource Scheduling & Tracking: Build out scope components under the execution phase with estimated hours, assign engineering resources, and set tentative timelines.
Lifecycle Management: Maintain full lifecycle tracking of projects, moving initiatives from “Proposed” to “In Progress” and tracking milestones in Autotask.
Change Management: Review, estimate, and process project Change Orders, ensuring updates are properly accounted for in financial tracking.
Project Closeout: Verify all deliverables are fully completed, confirm client satisfaction, transition projects to "Work Finished," and log final results into ScalePad for upcoming Quarterly Business Reviews (QBRs).
Procurement & Vendor Management
Vendor Relations: Own and mature relationships with primary distribution partners (e.g., Ingram Micro, Synnex) as well as commercial fulfillment channels (e.g., Amazon, Best Buy) to optimize pricing, lead times, and tier benefits.
Sourcing & Logistics: Source all client hardware and licensing for both day-to-day break-fix operations and strategic projects, ensuring materials are delivered to the exact locations specified by engineering.
Supply Chain Mitigation: Proactively identify availability issues, work alongside engineering to locate alternative products, and coordinate with Sales to manage client expectations around shipping delays or pricing updates.
Financial & Strategic Alignment
Billing Coordination: Work closely with the Accounting department to trigger project-related invoicing, including initial hardware/deposit invoicing and final balance processing.
Process Maturation: Take ownership of the project and procurement process, continually refining workflows to eliminate inefficiencies, improve operational metrics, and drive team-wide accountability.
Engineering Integration: Partner with the engineering team to build tighter software and API integrations with our vendors to automate ordering, tracking, and asset lifecycle logging.
The Qualifications We're Looking For
Experience: 5–10 years of dedicated experience in IT project management, with a strict minimum of 5 years of IT project management within an MSP environment required.
Project Mastery: Proven track record of successfully managing, scheduling, and executing multiple complex IT projects simultaneously in a fast-paced environment.
Technical PSA/RMM Proficiency: Expert-level experience navigating Autotask PSA (or equivalent MSP platforms) to pull data and track projects.
Procurement Knowledge: Familiarity with major IT distributors (Ingram Micro, Synnex) and alternative commercial sourcing strategies.
Communication: Exceptional written and verbal communication skills, with a proven ability to manage difficult client conversations, align internal engineering teams, and deliver constructive updates.
Attributes: Highly organized, self-motivated, resourceful, and deeply process-oriented.
License/Certification: PMP (Preferred)
